A St. Louis Family Office is seeking an Administrative Assistant to support both the family and their family office. Responsibilities will include both administrative and personal duties. This Administrative Assistant must have a positive, "roll up your sleeves", can-do attitude and the ability to work with varying personalities with grace and flexibility. Dependability and professionalism are imperative.

  • Perform miscellaneous duties for the company as necessary

  • Daily mail pick up and distribution

  • Daily errands as needed and/or requested by the family or the family office

  • Set up and maintain paper and electronic filing systems for multiple family members

  • Track, maintain and renew important documents as needed; ensure originals or copies of all essential documents are housed at the family office

  • Maintain and order office supplies

  • Handle internal bills with company accounting departments

  • Process expense reports for all family office employees

  • Process and track tax documents

  • Support Executive Director with tasks and on projects as needed

  • Support property management as directed on housing and motor vehicle needs

Minimum Qualifications:

  • Five (5) or more years of experience working in an administrative role supporting an executive or a member of senior management

  • Intermediate level of proficiency or above with Microsoft Office Excel and Outlook

  • Ability to work a flexible schedule as needed

  • Must execute a confidentiality agreement

  • Must possess a valid driver’s license with no more than two moving violations within the past three years.
