Enterprise Holdings Administrative Assistant - Meetings and Travel Department in St. Louis, Missouri


The Administrative Assistant will provide general administrative support for the Meetings and Travel Team (meeting planning support, shipping, coordinate schedules, reporting functions, meeting and travel arrangements, business correspondence and presentations, filing, copy tasks, supply maintenance and basic accounting). The Administrative Assistant will perform a wide range of routine assignments and immediate activities (daily/weekly/monthly).

This position is located at our Corporate Headquarters in Clayton, MO, with a hybrid schedule available.

  • Create, establish and maintain department best practices, documents and filing system (SharePoint, M drive)

  • Prepare letters, presentations, statements, manuals, agendas, and other business correspondences, as needed

  • Schedule appointments, coordinate with executive administrative assistants as needed and maintain the calendars for various personnel and/or the department

  • Coordinate accounting activities (expense reporting, invoice approval, purchase orders, check requests, wire transfers, etc.)

  • Coordinate department meetings and assist with executing corporate workshops including arranging facilities, audio/visual equipment catering or any other special request

  • Maintain supply of office products including inventory, ordering, stocking, and ensuring supply facilities are organized efficiently

  • Coordinate meeting shipping of supplies with lead planner of each meeting/event; maintain inventory of the P/O 104 Storage facility

  • Maintain confidentiality and security of all activities and records

  • Assist with the creation, production, distribution, comparison of reports and may perform basic analysis or report summaries

  • Responsible for department copying requests (meeting scripts, presentations, nametags, etc.) including assembly, sorting, collating, or working with the document center

  • Coordinate employee relation gifts including recognizing performance, service, company milestones, special events and United Way

  • Receive, sort, and route all mail including incoming/outgoing overnight packages or special interoffice department correspondences

  • Scribe meetings, produce and distribute meeting minutes in a timely manner

  • May delegate tasks to other administrative support roles within own department

  • Occasional local travel between work locations may be required

  • HS Diploma/GED

  • One (1+) year of related experience

  • Proficiency in Microsoft Products (Excel, Word, Outlook, SharePoint, Teams)

  • Must be authorized to work in the United States and not require work authorization sponsorship by our company for this position now or in the future

  • Must have a valid driver's license with no alcohol or drug related event within the last 5 years and no more than 3 moving violations and/or at-fault accidents within the last 3 years
